Outlook Tip of the Month: Color Coding Your Calendar Appointments

You can use colors to help you manage appointments in your Outlook calendar. For example, you can make all "important" meetings appear in red and all "phone calls" appear in yellow. Outlook offers predefined labels, such as "vacation," "needs preparation," or "must attend," or you may make your own labels.

  1. Open your calendar.
  2. Right click on an appointment or meeting, point to Label on the shortcut menu.
    1. If you want to use a predefined label, select a color-coded label in the list.
    2. If you want to make your own label, select Edit Labels at the bottom of the list, choose a color, and type in a new label name for that color. Click OK.
  3. To remove a color-coded label, point to Label on the shortcut menu (step 2) and select None from the list.
