SharePoint Update

I am happy to announce that IR&C will launch the UCOP SharePoint service on September 22, 2010. Please see my June e-mail for a brief description of the SharePoint collaboration tool.

Requesting SharePoint Sites
On September 22, I will send you a link to a form to use to request SharePoint sites. Once a request is received, we will evaluate it to determine the amount of effort required to develop the site. Additional information may be required, in which case a business analyst will contact the requestor. Given the anticipated high demand for sites, IR&C will need to manage work load and schedule development of sites. While we expect to address most requests in the order received, we recognize that other factors, including complexity and business need, may influence the scheduling order. A small inter-departmental committee is being formed to assist with prioritizing requests.

Departmental Responsibilities
Every department that requests a SharePoint site must identify at least one site administrator. This individual will be responsible for setting user access permissions, creating sub-sites, and providing the first line of support to the site’s users. Training will be offered for site administrators.

Departments that plan to request sites soon may want to begin to think through their SharePoint needs – the purpose of the site and information it should contain, the number of sub-sites needed (e.g., for teams, units, or particular projects), and the user audience for each site and sub-site.
