A Message from EVP Katie Lapp - Increasing UCOP's Use of Videoconferencing

Dear UCOP Colleagues:

I write to advise you of the availability of UCOP’s videoconferencing capability and to encourage you to use it whenever possible.  By arranging a videoconference instead of an in-person meeting, you can collaborate with colleagues almost anywhere in the world without having to travel.  I participated in a videoconference recently with executives across the UC system, and it was very effective.

Increasing our use of videoconferencing will help to reduce travel and lodging costs, save time and increase productivity, and minimize our use of personal or family time for business travel.  Use of this service will also contribute to UC’s sustainability efforts by reducing air and car travel.  Videoconferences are suitable for all types of administrative meetings, as well as job interviews, training, and vendor presentations.

UCOP has two well-equipped videoconference facilities—one each in the Franklin and Kaiser buildings.  IR&C runs the service, and it is very easy to schedule a videoconference.  Simply complete and submit an online form.  The IR&C videoconference administrator books the facility, makes arrangements with the other participating sites, and monitors the session.  There are no fees for booking the UCOP videoconference rooms, although some campuses charge hourly rates for their facilities. Occasionally, there may be a line charge as well.
