Canceling E-mail Accounts

Because a number of employees will be leaving UCOP at the end of this month, we want to remind departments to cancel e-mail and other computing accounts. Per the acceptable use policy, access to electronic resources terminates after a user's relationship with the UCOP has ended. The form for canceling accounts is on the Web at http://www.ucop.edu/irc/services/itsvcs_cancel.html.

To ensure business continuity, departments may advise employees to put in place an Outlook out-of-office message before they leave providing contact information for their functions. Although the employee will not have access to the e-mail account, this message will remain in place for 45 days, at which time the account will automatically be canceled. If the department needs to change the content of the message during that time, please send an e-mail request to .

Employees should be aware that, after they separate from UCOP, departments may access their e-mail and computer files. Employees should be sure to delete any personal files. Key points about e-mail privileges and responsibilities at UCOP are posted on the Web.
