Tech Topic: Backup of Computer Files

IR&C provides backup for desktops and laptops in the Oakland-based UCOP offices. Backup is an insurance policy. If your system crashes or you accidentally delete a document, chances are good we can restore a recently saved version of most files.

How Back Up Works
Each computer is backed up at a scheduled time Monday through Friday between 9:00 and 4:00, provided the computer is on and connected to the UCOP wired network. Laptops won’t get backed up unless they are brought into the office and connected to the network.

To control costs, ONLY files stored in the following locations are backed up.

  • My Documents
  • C: Drive - Documents and Settings Folder (including Favorites and Desktop)
  • Outlook Personal Folders (pst files)

Note some important exclusions: We do not back up any music, video, or picture files, even if they are stored in My Documents or other folders that are backed up.

Restoring Files
You need to do your part to increase the likelihood that the backup will be successful and your files can be restored:

  • Store your files only in locations that are backed up.
  • Make sure your computer is turned on from 9:00 to 4:00.
  • Connect your laptop to the UCOP wired network all day at least once or twice a week.

If you think you’ve lost files, call or e-mail TechDesk immediately; we’ll make every attempt to restore your work. Note that if your system crashes before the scheduled backup time, you will have lost that day’s work. The file we restore will be the version from the last successful back up session. Unfortunately, the backup process occasionally experiences technical failures and thus we can’t guarantee that we can restore lost data.
